Managing Contacts

Last updated on July 15, 2026

  • Find in: ContactsAll
  • Statuses: Draft, Active, Archived
  • Real-World Example: You meet a new collector at an art fair. You can quickly add them as a "Draft" to save their name, and later update them to "Active" once you have their full details. If a supplier goes out of business, simply move them to "Archived" to keep your list clean without deleting their history.

Your contact list is a simple, powerful CRM (Customer Relationship Management) tool. Every contact profile holds all relevant metadata, so you never lose track of a client's details.

Understanding Roles

Instead of creating separate lists for buyers and artists, yatelier uses Roles. A single contact can have multiple roles:
• Roles Available: Client, Gallery, Lead, Artist
• Automatic Leads: If someone sends an inquiry through a Viewing Room (ya:room), yatelier automatically creates a contact for them and assigns the Lead role.
• Real-World Example: A gallery owner you collaborate with also buys art from you. You can tag them as both Gallery and Client.

Managing Addresses

Every contact should have one Primary Address. However, because art buyers often have complex logistics, you can also add dedicated Billing and Delivery addresses. When you create an invoice or a shipment later, yatelier will automatically pull the correct address for you.
